Whether you have one employee or many, read on to understand more about what to include in a reference letter so you can best support your people when they move on in their careers.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-when-to-write-an-employee-reference-letter\">When to write an employee reference letter<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">There are only two instances when you legally have to give a reference:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li class=\"wp-block-list-item\">if you\u2019ve previously said in writing that your business will provide one <\/li>\n\n\n\n<li class=\"wp-block-list-item\">if your employee\u2019s job is a \u2018<a href=\"https:\/\/www.fca.org.uk\/firms\/approved-persons\/controlled-functions\" rel=\"noopener noreferrer\" target=\"_blank\">controlled function<\/a>\u2019 regulated by the Financial Conduct Authority or Prudential Regulation Authority <\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">Even if you don\u2019t legally have to write a reference, it can be a nice thing to do to show support and gratitude for your people. <\/p>\n\n\n\n<p class=\"wp-block-paragraph\">On the other hand, some businesses have an employee reference policy that says they won\u2019t give detailed references for employees at all. This will usually be mentioned in a <a href=\"\/knowledge\/staff\/what-is-a-staff-handbook\/\" data-type=\"knowledge\" data-id=\"1058\">staff handbook<\/a> and might restrict what you can say, or who\u2019s allowed to give references. We\u2019ll go into more detail about the difference between a basic reference and a detailed reference later. <\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-tips-for-writing-a-reference-for-an-employee\">Tips for writing a reference for an employee<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">If you\u2019re going ahead and writing a reference, there are a few things to remember:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li class=\"wp-block-list-item\"><strong>It must be fair and accurate <\/strong>\u2013 the law says you must be \u2018fair and accurate\u2019 in your reference to protect workers\u2019 rights, so if you give any opinions they should be backed up by evidence. <\/li>\n\n\n\n<li class=\"wp-block-list-item\"><strong>Keep it simple and to the point<\/strong> \u2013 a reference can be as short or long as you like, depending on whether you choose to write a basic or detailed reference, but make it simple to read and concise.<\/li>\n\n\n\n<li class=\"wp-block-list-item\"><strong>Avoid irrelevant personal information<\/strong> \u2013 it\u2019s against the law to include information on \u2018protected characteristics\u2019 when writing a reference, except on rare occasions where a characteristic is an \u2018<a href=\"https:\/\/www.acas.org.uk\/employer-decision-protected-characteristic\/crucial-for-job\" rel=\"noopener noreferrer\" target=\"_blank\">occupational requirement<\/a>\u2019. <\/li>\n<\/ol>\n\n\n\n<figure class=\"wp-block-embed is-type-video is-provider-youtube wp-block-embed-youtube wp-embed-aspect-16-9 wp-has-aspect-ratio\"><div class=\"wp-block-embed__wrapper\">\n<iframe loading=\"lazy\" title=\"The SME Insights Report 2022 from Simply Business.\" width=\"500\" height=\"281\" src=\"https:\/\/www.youtube.com\/embed\/LrgyqRbx7uA?feature=oembed\" frameborder=\"0\" allow=\"accelerometer; autoplay; clipboard-write; encrypted-media; gyroscope; picture-in-picture; web-share\" referrerpolicy=\"strict-origin-when-cross-origin\" allowfullscreen><\/iframe>\n<\/div><\/figure>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-what-to-include-in-an-employee-reference-letter\">What to include in an employee reference letter <\/h3>\n\n\n\n<div id=\"nba-body-001\">\n<\/div>\n\n\n\n<p class=\"wp-block-paragraph\">Many references simply include the job title and dates or employment. <\/p>\n\n\n\n<p class=\"wp-block-paragraph\">But if you want to go into detail, here\u2019s a full list of things that you might include in an employee character reference letter:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li class=\"wp-block-list-item\">current job role and length of service <\/li>\n\n\n\n<li class=\"wp-block-list-item\">key achievements <\/li>\n\n\n\n<li class=\"wp-block-list-item\">examples of performance or activities that show relevant skills or attributes<\/li>\n\n\n\n<li class=\"wp-block-list-item\">reason they left the job<\/li>\n\n\n\n<li class=\"wp-block-list-item\">your contact details \u2013 let the reader know you\u2019d be open to chat more if they want to<\/li>\n\n\n\n<li class=\"wp-block-list-item\">signature \u2013 don\u2019t forget to sign your recommendation letter (either digitally or by hand)<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">You can also mention if an employee\u2019s conduct means you don\u2019t think they\u2019d be suitable for the job, for example if they were dismissed or <a href=\"\/knowledge\/staff\/how-to-write-a-disciplinary-policy\/\" data-type=\"knowledge\" data-id=\"1454\">disciplined<\/a> while working for you. <\/p>\n\n\n\n<p class=\"wp-block-paragraph\">An employee could try to claim damages in court if anything you say is misleading or inaccurate though, so make sure you only include facts and that you can back your reference up with evidence (such as warning letters or <a href=\"\/knowledge\/staff\/appraisal-form-template\/\" data-type=\"knowledge\" data-id=\"1324\">performance reviews<\/a>). <\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-employee-reference-letter-sample\">Employee reference letter sample <\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">A basic employee reference is a short summary of your employee\u2019s employment. This typically includes their job role and length of time they worked at your business. <\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>For example:<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Alex worked as Head Chef at Ottello\u2019s restaurant from July 2021 to June 2022. <\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Some employers might choose to provide a more detailed character reference. This typically includes a summary of the individual\u2019s skills and experience. You may also include examples of their strengths and weaknesses in relation to their next step in their career. <\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>For example:<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">I\u2019d be happy to recommend Jesse for this role at your company. She worked for Jones\u2019 Accountancy for two years and I was her manager. <\/p>\n\n\n\n<p class=\"wp-block-paragraph\">As a bookkeeper, Jesse was responsible for recording costs and expenses, processing invoices, reviewing bank statements, and chasing unpaid invoices.
