Meanwhile, the X (horizontal) axis will usually be split into weeks and days. <\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The position of a bar on the X axis will depend on when the task is due to start and its dependencies. The length of the bar will depend on how long the task is due to take and when it\u2019s due to be completed.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Most project managers who use Gantt charts will shade the bar for each task depending on how much of it has been completed. For example, they\u2019ll shade 50 per cent of a bar for a task that\u2019s half done and fully shade a bar for a task that\u2019s been completed. <\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-what-is-a-gantt-chart-used-for\">What is a Gantt chart used for?<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">This type of chart helps project managers to track: <\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li class=\"wp-block-list-item\">all the separate tasks needed to complete the project <\/li>\n\n\n\n<li class=\"wp-block-list-item\">which tasks depend on each other<\/li>\n\n\n\n<li class=\"wp-block-list-item\">who owns each task <\/li>\n\n\n\n<li class=\"wp-block-list-item\">the projected start and completion dates<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">This type of visualisation is particularly useful for seeing which uncompleted tasks are blocking a project\u2019s progress. For example, if a toy company is creating a new teddy bear, milestones that could be flagged on the Gantt chart include:<\/p>\n\n\n\n<div id=\"nba-body-001\">\n<\/div>\n\n<ul class=\"wp-block-list\">\n<li class=\"wp-block-list-item\">when initial research such as a <a href=\"\/knowledge\/strategy\/how-to-do-business-swot-analysis-template\/\" data-type=\"knowledge\" data-id=\"944\" >SWOT analysis <\/a>and <a href=\"\/knowledge\/marketing\/how-to-do-a-competitor-analysis\/\" data-type=\"knowledge\" data-id=\"1229\" >competitor analysis<\/a> have been completed<\/li>\n\n\n\n<li class=\"wp-block-list-item\">when the design has been signed off<\/li>\n\n\n\n<li class=\"wp-block-list-item\">when the prototype has been completed<\/li>\n\n\n\n<li class=\"wp-block-list-item\">when health and safety checks have been completed<\/li>\n\n\n\n<li class=\"wp-block-list-item\">the end of the first manufacturing run<\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-what-does-gantt-stand-for\">What does Gantt stand for?<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">It\u2019s believed that this kind of project management chart originated in Poland in the 1890s. However, it was tweaked and made popular by American engineer Henry Gantt in the early 1900s.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Since then, Gantt charts have taken the engineer\u2019s name and are used globally by project managers. <\/p>\n\n\n\n<p class=\"wp-block-paragraph\">These charts were originally drawn out by hand, although these days they\u2019re generally created using programs like Excel or project management software.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-how-to-make-a-gantt-chart\">How to make a Gantt chart<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">When creating a Gantt chart, the first three things you need to do are:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li class=\"wp-block-list-item\">identify all the individual tasks needed to complete the project<\/li>\n\n\n\n<li class=\"wp-block-list-item\">work out which tasks depend on each other<\/li>\n\n\n\n<li class=\"wp-block-list-item\">estimate how long each task is likely to take<\/li>\n<\/ol>\n\n\n\n<p class=\"wp-block-paragraph\">Once you have this information, you can pull together a project schedule that you can display as a Gantt chart.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">You\u2019ll need to fill out all the tasks down the Y axis and the timeframes for the project on the X axis. Make sure you list the tasks in chronological order from top to bottom \u2013 the final individual task of the project should be at the bottom and furthest right position of the chart.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Before the project starts, it\u2019s important that you allocate resources and budget so everyone is clear on what they need to do, how much it should cost, and how long it should take.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">As the project progresses, you\u2019ll need to: <\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li class=\"wp-block-list-item\"><strong>stay on top of communications<\/strong> \u2013 this can help you to fix problems and make sure that the project continues to run smoothly and on schedule<\/li>\n\n\n\n<li class=\"wp-block-list-item\"><strong>provide updates and mark milestones<\/strong> \u2013 you\u2019ll need to keep the chart up to date and send out updates when key tasks are completed<\/li>\n\n\n\n<li class=\"wp-block-list-item\"><strong>identify and report problems<\/strong> \u2013 due to the visual nature of a Gantt chart, it\u2019s easy to see when a task is overdue and the impact this could have on the wider project<\/li>\n<\/ul>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-use-a-gantt-chart-template\">Use a Gantt chart template<\/h3>\n\n\n\n<p advantages<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">A Gantt chart\u2019s main advantage is that it provides a visual representation of a project, making it quick and easy to tell whether it\u2019s on schedule. <\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Here are some more benefits of using a Gantt chart:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li class=\"wp-block-list-item\">having all tasks in one central place can help the project manager get a sense of the scale of a project and monitor its progress<\/li>\n\n\n\n<li class=\"wp-block-list-item\">by listing tasks based on their dependencies, it\u2019s easy to spot where a project is being slowed down and when a new task can start as another one finishes <\/li>\n\n\n\n<li class=\"wp-block-list-item\">a digital Gantt chart can complicated and messy if there are too many tasks and dependencies<\/li>\n\n\n\n<li class=\"wp-block-list-item\">although it\u2019s clear who\u2019s responsible for what, Gantt charts don\u2019t usually show the priority of each task<\/li>\n\n\n\n<li class=\"wp-block-list-item\">using a basic time measurement makes it hard to know how much effort it takes to complete a task, which can make it
